Many landlords initially attempt to keep track of all of their tenants using spreadsheets. Spreadsheets are an extremely valuable and powerful tool, but unless you really know how to make them hum, specialized property software may be a better solution.

If you are just beginning as a landlord then chances are you don’t exactly know what you need to be tracking. You could use trial and error which could cost you a lot of money and maybe even a lawsuit or two, or you could look for a proven system for landlords.

Residential property management software comes ready to go with all of the functionality you should ever need. And if it isn’t currently tracking something you want, you can customize the software to add those types of details.

What Comes with Purchased Software for Managing Properties?

These systems will already be set up to track your tenants. Most of the systems will come with an easy user interface where you simply enter all of the information and it is organized in a way in which you will be able to easily recall it later. Spreadsheets don’t store all information in one central location like software that is interfacing with a database will. If all of your data is stored in one location then it will be accurate and secure.

Most of the property management software available comes with an ability to interact seamlessly with credit card payments and banks. This is a handy feature because when tenants pay, the software will automatically update their information. You would probably need a Masters Degree in spreadsheets to get this type of functionality.

This type of software also comes with other features that you may not have thought to implement on your own. For example a vacancy planning report can quickly be printed to help you know when it is time to start recruiting new tenants. In addition, purchased property software usually has a module for tracking repairs and maintenance.

Finally some software will come with aide in setting up a website. In the past landlords may have been able to get away without having a website, but in today’s environment nobody wants to have to drive to your house to make their monthly payments. People don’t even want to use the telephone anymore. Setting up a website that can accept tenant payments is a must have.

In summary, spreadsheets are a useful tool, but unless you really know how to use them they won’t provide the same functionality that commercialized property software will. Managing your tenants’ information can be the difference between success and failure.
